Overview

Cluttons is currently looking to recruit a Team Secretary in our London office.  Reporting into the Head of Valuations, you will provide administrative and secretarial support to the commercial and residential valuation teams, currently ten surveyors including the departmental head.

Responsibilities

  • Formatting reports
  • Setting up new jobs with files, issuing job number and conflict of interest checks
  • Raising and issuing invoices, liaising with the accounts team, maintaining log fees billed and outstanding invoices on Excel
  • Creating digital maps and ordering environmental assessments
  • Keeping the HR system up to date with employees absences
  • Recording incoming fee quotes on an excel spreadsheet
  • Collating quarterly returns for bank client(s)
  • Updating the Client Contact database
  • Logging expenses for the Head of Department
  • General administrative duties
  • Occasional reception cover

Qualifications

  • Educated to A level standard or equivalent professional qualification
  • MS Office training
  • Previous secretarial experience
  • Microsoft Excel (intermediate) Microsoft Word (advanced) Powerpoint (intermediate) Adobe PDF
  • Excellent organisational, time management and communication skills
